How to import data from another billing system

    If you’re switching from another invoicing system, you don’t have to start from scratch — in Fakturuj.si, you can import your existing data in just three steps. In this guide, we’ll walk you through the entire process, from exporting data from your original system to confirming the import.

    What you can import: invoices, credit notes, clients and expenses. The exact scope depends on the source system and the format you use.

    Supported systems and formats

    The app includes adapters for the following systems — you can choose automatic detection, which identifies the source based on file content, or select a specific source manually:

    • SuperFaktúra — ISDOC
    • Online Invoices — XML
    • iDoklad — CSV
    • Fakto — CSV
    • Billdu — CSV

    Automatic detection also recognises other systems (Pohoda, Money, MRP and others) — simply upload the file and the source will be identified automatically.

    Step 1 — Download the export from your original system

    In your original invoicing system, find the data export function. You’ll usually find it in the Settings, Export section, or directly in the overview of invoices and clients. Export in the format listed for your system in the list above.

    Tip: if you are exporting invoices, clients and expenses separately, prepare all the files before the next step — you can upload them all at once.

    Step 2 — Open Imports in Fakturuj.si

    After logging in to Fakturuj.si, click on Imports in the left-hand menu. A three-step import wizard will open: Select source → Upload files → Check and confirm.

    Step 3 — Select source

    In the first step, you have two options:

    • Automatic detection (recommended) — the system recognises the source based on the content of the uploaded files. This works in most cases.
    • Specific source — select manually if you know exactly which system the export comes from (SuperFaktúra, Faktúry online, iDoklad, Fakto, Billdu…).

    After selecting, click “Continue”.

    When should you choose manual selection? If you know exactly which system your export comes from, or if automatic detection has identified the source incorrectly.

    Step 4 — Upload files

    The second step will display a drop zone for uploading files. You can:

    • drag directly into the zone (drag & drop)
    • paste via the clipboard using Ctrl+V
    • select via the “or click” link
    Note: upload ZIP archives in an unzipped state. PDF files will not be imported — these are printouts, not data exports.

    After uploading, click on “Create preview”.

    Step 5 — Check the preview

    The wizard will show you a preview of the uploaded data:

    • Detected source — which system has been identified (e.g. “Detected source: iDoklad”)
    • Three counts: Invoices, Clients and Expenses to be imported
    • A table of individual records (document number, type, issue date, amount including VAT)
    • Notifications panel — if there are issues with any files (for example, if files do not match the selected source, required fields are missing, or a file has an unexpected structure)
    Tip: if you see errors in the Notifications, or the figures do not match what you expected, click Back and resolve the issue before confirming the import.

    Step 6 — Confirm the import

    Once you are satisfied with the preview, click “Confirm import”. The system will transfer all data to your account.

    Once complete, you will see the “Import complete” confirmation screen with a summary:

    • Records created — how many invoices, credit notes, clients and expenses were imported
    • Skipped (already exist) — how many records were skipped because they matched existing ones (duplicates)

    You can find the imported records in the standard sections of the app (Clients, Documents → Invoices, Expenses). If you wish to continue with another import, click “Import more”.

    Frequently asked questions

    What if the import displays an error or warning?

    The Preview step displays a Notifications panel with a list of issues. Most common causes: the file does not match the selected source, required fields are missing (invoice number, issue date…), or the file contains invalid data. Go back, correct the export in the original system and try again.

    Are attachments or PDF invoices also imported?

    No — the import only processes structured data (numbers, dates, amounts, client names). PDF files and image attachments from the original system are not transferred; these are merely printouts, not data exports. If you need to keep them, download them separately.

    Can I undo the entire import with a single click?

    A bulk rollback (reversing the entire import at once) is not yet available — this is why the preview step is important, so that you can check exactly what will be uploaded before confirming. You can edit or delete individual records (invoices, clients, expenses) after the import in the relevant section of the application in the standard way.

    How are duplicates handled?

    Duplicates are automatically skipped when the import is confirmed:

    • Invoices — if an invoice with the same number already exists in the account, the new one will not be added.
    • Clients — if you already have a client with the same company registration number, the new entry will not be added.

    In the final summary, you can see exactly how many records were added and how many were skipped as duplicates (the “Skipped (already exist)” row).

    My system isn’t on the list of adapters — what should I do?

    Try automatic detection first — it can handle more systems than are shown in the list of available adapters. If your system can export the universal ISDOC format, this is usually the most reliable option. If you’ve tried everything and it’s not working, contact our support team — we’ll be happy to look at your specific export.
